Context

The Fork was faced with the challenge of migrating over 4,500 pages from Confluence to Notion.

Their aim was to create a knowledge center that was broader and more scalable than the previous platform, used in particular by the tech and engineering teams, so that all employees could benefit from it.

The Fork wanted to keep the same configuration and information structure as on their previous platform, in order to make it easier for the teams to get to grips with the new system. With a total data volume of 10 GB to be migrated in two weeks, including a variety of content such as text, images, hyperlinks, usage rules and videos, the challenge was considerable.

Solution

To meet the customer's needs, our team developed a three-stage solution:

  • Pre-migration: optimizing and restructuring knowledge: it's not just a matter of "copying and pasting" content from one platform to another. In fact, our teams also supported The Fork in the selection and restructuring of relevant content to be migrated from one platform to another.
  • Migration: Export Confluence pages in a Notion-compatible format, and use RPA toautomate data import into Notion
  • Post-migration: Verification of data completeness (accurate, exhaustive) with manual sampling of migrated data

We also carried out a QA review prior to the transfer and change management. This approach ensured a seamless migration of the customer's data and a perfect result.

The successful migration and user-friendliness of Notion enabled the teams toadopt the new interface smoothly and easily. This enabled all teams to use Notion as the architectural foundation for their business, and The Fork to take a holistic view of management by removing information silos that didn't communicate with each other.


Today, The Fork uses Notion as its knowledge management platform, synchronously and/or asynchronously, between their teams across more than 20 countries in Europe. The platform provides a genuine meeting place for information exchange within the company, improving collaboration and communication, systems documentation, governance management, and decision-making processes.
